We are looking for a Special Events Program Planner

These positions are funded by Canada Summer Jobs, so applicants must be:

  •  Between 15 and 30 years of age (inclusive) at the start of employment. You do not have to be a student.
  • Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act (International students are not eligible. Recent immigrants are eligible if they are Canadian Citizens or permanent residents.)

Special Events Program Planner:

This position will help to increase and maintain Artbeat’s profile in the community, with a special focus on donors and funders, through communications and events. While Artbeat staff value our job descriptions, we work collaboratively and are all involved in many projects, alternating between leadership and assisting roles. This position will be supervised by the Executive Director. 

Job Tasks & Responsibilities: 

  • Planning and overseeing a fundraising auction (possibly) of Artbeat alumni works in August, online or as a hybrid event 
  • Conceptualizing and laying the groundwork for the coordination of Artbeat’s main fundraising event  
  • Assisting in planning and participating in events such as Art in the Park, First Friday Exhibitions, and/or Nuit Blanche  
  • Maintaining flexibility in events planning 
  • Communication with donors via thank-you notes and by contributing to reports 
  • Plan donation campaigns  
  • Creative Techniques workshops to the community online  
  • Event timeline and schedule tracking  
  • Liaising with volunteers in the context of executing events

Desired skills

  • Experience in Instagram, Facebook, Twitter, LinkedIn, YouTube 
  • Internet use and research 
  • Microsoft Office 
  • Electronic database usage or management (in the context of preparing art pieces for auction) 
  • Communicates clearly and concisely in the written, spoken, and visual form that fulfills the purpose and meets the needs of the Artbeat Studio participants as well as external audience 
  • Skills or experience in, or interest and willingness to learn, working from a trauma-informed, community-building, harm reduction, anti-oppression lens 

Personality

  • Skilled in interactions with the public from a variety of backgrounds 
  • Effective decision-making that demonstrates creative and innovative thinking  
  • Team player with ability to manage professional relationships with participants and external clients, and take on leadership roles as needed 
  • Demonstrates personal responsibility  
  • Takes initiative and can work independently 
  • Comfortable working in the downtown environment 
  • Valuing meeting people where they’re at and passionate about supportive artistic programming 

Employment Terms 

$14.15 an hour for 30/hours a week, from  July 4 – August 31, 2023

Working Conditions and Physical Demands 

  • These jobs will be based between Artbeat Studio in the Exchange District, and Studio Central and Upbeat Artworks in Portage Place, which are accessible by elevator.  
  • Flexibility in scheduling hours, based on advance discussions with the Executive Director. Occasional weekend or evening work may be required based on the timing of events. 
  • Some summer events will take place outdoors in Central Park. Heavy lifting is not expected, but set-up can require physical work such as setting up tables or hanging art, which we do as a team.
